Meeting Format

The SETAC Europe 33rd Annual Meeting will be organised as a fully-fledged physical meeting in Dublin, Ireland featuring limited virtual components for remote participants. Onsite participants will be able to benefit from 5 days packed with onsite scientific sessions, topical discussions, plenaries, satellite meetings and other exhibitor & networking events.

Main Scientific Programme 

Scientific Sessions 

Sessions are proposed by the SETAC community by 15 August and evaluated by the Annual Meeting Scientific Committee. During the call for abstracts, scientists can submit their research into one of the accepted sessions. Presentation types include:

  • In-person platform presentation: onsite presenters can present and discuss their latest research live on stage in Dublin. Session chairs will prepare an attractive lineup for oral presentations and poster exhibition from the submitted abstracts (the deadline is 30 November) and will ensure decent moderation of the Q/A in between the talks.
    Oral presentations will be live-streamed and recorded. Recordings will be made available on the virtual platform a week after the conference for online viewers to (re)watch. 
  • In-person poster presentation: onsite presenters can display their poster presentations on-site in Dublin in the Exhibition Hall for one full day of the meeting AND on the virtual platform. Poster presenters are thus required to provide a virtual component (either a PDF poster, video or enhanced poster [e-poster]) which will need to be uploaded before the meeting.  The exact upload deadline will be announced at a later stage. 
  • Virtual presentation: Remote presenters can share their research and make pre-recorded presentations or e-posters available on-demand on the virtual platform. Chat features, tied to your presentation files, will make it possible to connect with both virtual attendees as well as onsite participants. Virtual-only presentations are NOT shown in the live programme. Remote presentation and session chairing through live streaming are NOT possible, onsite representation is required.

All participants will have access to all recordings and uploaded materials for three months after the meeting. 

Special Sessions 

Special sessions are developed to address cutting-edge and emerging scientific topics that are currently of high societal or regional concern that stimulate transdisciplinary collaborations or foster SETAC´s strategic planning. This type of format is helpful to present a review or synthesis of a topic and bring this to the attention of the SETAC community. Special sessions provide an opportunity to invite experts typically not active in the SETAC network. 

Special sessions are organised upon invitation from the SETAC Europe Council and the Scientific Committee, in full cooperation with the SETAC office, and additional proposals are welcome. Session chairs are expected to secure a sector balanced speaker line-up and liaise with presenters and SETAC to ensure a high-quality session. 

As special sessions do not take more than 5% of the meeting programme, the number of accepted sessions is low. Proposals must have been submitted by 30 November 2022.

Plenaries 

The meeting will include thought-provoking and informative plenary presentations. Plenaries are organised by the Annual Meeting Scientific Committee and the SETAC office. 

Remote participants can view the keynote presentations from home via live streaming and engage in the discussion through the chat feature.

Topical Discussions 

Topical Discussions are one-hour daily parallel discussion sessions for participants who share an interest in a particular scientific topic. The goal of the topical discussions is to summarise the state of the science in an overarching topic from the research presented at multiple regular scientific sessions and prioritising key research questions that need to be addressed. 

These sessions have complementary presentation session(s) that participants are invited to attend to make the most out of it.  

Topical Discussions are proposed by members and SETAC Interest Groups by 27 February 2023 and reviewed by the Annual Meeting Scientific Committee.  

Remote participants will be able to join the discussion sessions from home by following the live stream and engaging through chat features.
*Remote chairing of discussion sessions through live streaming is NOT possible, onsite representation of (co-)chairs is required.

 

Parallel Programme

*The parallel programme will not be live streamed nor recorded.

Training Courses

Training courses are planned on the Sunday of the meeting to provide educational opportunities to the membership and guests. The focus is on selecting cutting-edge and general scientific topics of interest. In addition, non-scientific courses that support skills necessary for scientists to succeed, for example, communication or presentation skills, are offered. Training course proposals were accepted until 2 November 2022 to allow sufficient time for planning and reviewed by the SETAC Europe Education Committee. 

SETAC Seminars

SETAC Seminars give room to SETAC groups to introduce, educate or discuss specific topics or projects. For example, the “Student Lunch Seminar” or “Pharmaceutical IG Seminar” have been popular for years. SETAC Seminars proposals were accepted through the proposal form until 27 November 2022, to allow sufficient time for planning and are reviewed by the Annual Meeting Scientific Committee.

Sponsored Seminars  

These events are planned by non SETAC groups featuring a guest speaker presenting topics of interest to meeting attendees. Please email Barbara Koelman by 1 April 2023 if you would like to plan a sponsored seminar or product presentation. 

Networking Events

These are semi-formal events to provide networking opportunities for meeting attendees. They include socials, such as “Student Career Networking Lunch,” and other types of events, such as the “Job Event.” These are proposed by SETAC Committees and organised in collaboration with the office. Please contact the office at Europe-meeting@setac.org to propose a networking event.   

Group Meetups 

The annual meeting includes many informal group meetups aimed at gathering people with similar interests for engagement opportunities, like the “Meeting Guide Programme.” We encourage SETAC Regional Branches and Chapters, Committees, Interest Groups and Affinity Groups to hold more informal group meetups to facilitate networking and engagement opportunities at the meeting instead of administrative meetings. Those could, for example, be organised at the SETAC Square in the Exhibition Hall. An online form to plan group meetups will be published at a later stage.

Business Meetings 

SETAC supports its members (e.g., Committees, Regional Branches and Chapters, Interest Groups and Affinity Groups) and other organisations by allowing them to book rooms at the venue for business meetings. You can book meeting rooms until 1 April 2023.

Tours 

Tours give meeting attendees and guests the option to explore the city, learn more about the traditions and history of the hosting country or replenish during a cycling or hiking tour.  Tours are organised by the SETAC office in conjunction with the Local Organisers and the host city.
